Moving offices is always exciting – there’s nothing quite as exhilarating as an upgrade in the workplace. Of course, office moves aren’t without their challenges. An office is the sum of many parts, and a fair amount of strategic organisation is necessary for a smooth move.

Empty Those Drawers

Emptying those desk drawers is hardly an enjoyable task. Unfortunately, it’s something that needs to be done. Your filing cabinet is going to need some attention too. Even if the drawers lock, leaving the contents of your drawers where they are makes the office furniture heavy and makes things more difficult for the movers. For safety’s sake, movers will often empty the drawers for you, if you haven’t done so already, and charge you for the time it takes them to complete the extra task.

Unbolt furniture in advance

It’s common courtesy for you to unbolt all the furniture, shelving, cubicle dividers, and joined desks in your office before the movers arrive. This will save your movers time and save you from incurring extra costs.

Disassemble furniture

Put your team’s organizational skills to good use. Disassemble your office furniture and make sure not to lose any of the bits and pieces you’ll need to put everything back together again. Place screws, nuts, bolts, and any other small parts in plastic bags that can easily be taped to the main part of the furniture they belong with.

 

Labels are a necessity

There’s no way around it: you need to label everything. The more specific your labels are, the better. Label file cabinets with numbers and mark the corresponding boxes containing the corresponding paperwork. You’ll also want to label larger furniture items so that your movers know where to place them.

Create a floor plan

It’s a good idea to take a trip out to your new office space. Take a look around and create a detailed floorplan. Mark off which office belongs to which employee, where certain furniture items will need to be placed, and how you plan to arrange desks and cabinets. Your movers will appreciate a detailed floor plan as it assists them in placing items in the correct place on the first try. Asking them to shuffle pieces around at a later stage will incur further costs.
